Winlink Radio Email Setup: VARA Modem, RMS Express, and Sending Email Over HF/VHF Radio
Winlink is a global radio email system that lets licensed amateur (and, in emergencies, other authorized) radio operators send and receive standard email — including small attachments — over HF, VHF, or UHF radio, with no internet connection required at the sending or receiving end. It's the backbone of a lot of real emergency communications work: served agencies and served-area radio operators use it to move formatted message traffic and situational reports when normal infrastructure is down, and it's also just a genuinely interesting way to learn digital modes if you already have a station capable of SSB or VHF packet operation. This guide covers getting a working Winlink station running with the modern VARA modem and RMS Express client, which has become the de facto standard software combination for the system.
How Winlink Actually Moves a Message
You compose a message in RMS Express, a client application that looks and behaves much like a simple email program. When you send, RMS Express hands the message to a software modem (VARA HF for shortwave frequencies, or VARA FM for VHF/UHF) which encodes it into an audio tone pattern and keys your radio's transmitter, exactly like any other digital sound-card mode such as FT8 or PSK31. That audio stream reaches a Winlink RMS gateway station — a fixed station, often unattended, that's connected both to a radio and to the internet — which decodes it and forwards the message into the standard email system, where it lands in the recipient's actual inbox. The reverse path works the same way: an ordinary email sent to your Winlink address (typically [email protected]) queues at a Common Message Server until your station next connects to a gateway and pulls it down over the air.
What You Need
- An amateur radio license (Winlink requires a valid callsign to register and operate — Technician class is sufficient for VHF/UHF Winlink use; HF Winlink requires at least General class privileges on the relevant bands).
- A radio capable of SSB (for HF Winlink) or FM (for VHF Winlink) with a way to interface audio in/out and PTT control to a computer — a standard USB sound-card interface cable (like those used for FT8 or other digital modes) works for both.
- A Windows PC (VARA and RMS Express are Windows applications; they run acceptably under Wine on Linux or via a Windows VM on macOS, but native Windows is the smoothest path, especially for first-time setup).
- The VARA HF or VARA FM modem software (free version has a lower maximum data rate; the licensed version substantially increases throughput and is worth the cost if you'll use Winlink regularly).
- RMS Express, the free official Winlink client.
Registering a Winlink Account
Before anything else, register your callsign at winlink.org — this creates your Winlink email address and account, which is separate from downloading any software. Registration requires entering your callsign and confirming it against the FCC (or your country's equivalent) license database, so make sure your license is current and correctly reflected before registering.
Installing and Configuring VARA
- Download VARA HF (for shortwave) and/or VARA FM (for VHF/UHF packet-style operation) from the developer's site — they are separate applications for separate use cases, not one program with a mode switch.
- In VARA's settings, select your sound card's input and output devices (ideally a dedicated USB audio interface for your radio, not your computer's built-in microphone/speakers).
- Configure the PTT method — most setups use either a CAT control connection to the radio (if your radio and interface support it) or a simple RTS/DTR serial signal from a USB-to-serial adapter wired to the radio's PTT input.
- Run VARA's built-in soundcard level calibration, which walks you through setting transmit audio drive so you're not overdriving the radio into distortion — critical for reliable decode at the receiving end, and a step people skip far too often.
Configuring RMS Express
On first launch, RMS Express asks for your callsign, grid square (Maidenhead locator — used for finding nearby gateways), and Winlink account password. In the Settings menu, point RMS Express at your installed VARA modem (it launches and controls VARA automatically rather than you needing to run both separately). Set your radio's frequency and mode to match a nearby Winlink RMS gateway's published channel — RMS Express includes a channel selection tool that lists nearby gateways by distance and recent reliability, which is the easiest way to pick a starting frequency rather than hunting manually.
Sending Your First Message
- Tune your radio to the selected gateway's frequency and set VARA/RMS Express to match.
- Compose a short test message in RMS Express addressed to your own Winlink address or a willing contact's.
- Click "Post to Outbox," then use the "Winlink Express" connect function (via VARA) to open a session with the gateway — you'll see the VARA modem window show a connection handshake, then a data transfer progress indicator.
- A successful session ends with your outbound message uploaded and any waiting inbound messages for your callsign downloaded automatically in the same session.
If the connection fails to establish, the most common causes are audio levels set too hot or too low (recheck VARA's calibration), being slightly off-frequency from the gateway's exact center frequency, or attempting HF Winlink during poor propagation conditions to that particular gateway — try a different, closer gateway or a different time of day before assuming your setup is misconfigured.
VHF Winlink as a Simpler Starting Point
If you're new to Winlink, VARA FM over a local VHF repeater or simplex frequency with a nearby VHF gateway is considerably easier to get working reliably than HF, since it sidesteps propagation variability entirely — a good signal path is a good signal path, with none of the ionospheric unpredictability of shortwave. Many hams set up their first Winlink station this way, confirm the whole software chain works end to end, and only move to HF Winlink afterward once they understand the RMS Express workflow.
Winlink and Emergency Communications
Winlink's largest practical use case is served-agency emergency communications — ARES, RACES, and similar groups use standardized Winlink message forms (ICS-213 and similar formats built directly into RMS Express's template system) to relay structured situation reports when normal communications infrastructure is degraded or unavailable. If you're interested in this side of the hobby, look into your local ARES or RACES group's specific Winlink practices and net schedules — many run regular practice traffic nets specifically to keep members' stations and skills current before they're actually needed.
